1. Overview

BadgePing, Inc. ("BadgePing", "we", "us") provides compliance alerting for member certificates. This Privacy Policy explains what personal information we collect through the BadgePing website and application (the "Service"), how we use it, and the choices you have.

If you use the Service on behalf of a company, this policy applies to your personal use of the Service. Your company controls the compliance records stored in its workspace, and administrators of that workspace can manage them at any time.

2. Information we collect

• Account information: your name, work email address, and a hashed password. If you sign in with Google, we also store the Google account identifier, name, and email address returned by Google.
• Company information: the organization name and workspace settings created during onboarding.
• Compliance records: the members, workers, certificates, and expiry dates that you or your team add to a workspace.
• Invitation data: the email addresses of people you invite to join your company workspace.
• Security and verification data: one-time sign-in codes, password reset requests, log timestamps, IP addresses, and device information used to keep your account secure.

3. How we use information

We use the information we collect to:

• create and authenticate your account, including email verification codes and password resets;
• send compliance alerts about certificates approaching or passing expiry, which is the core function of the Service;
• manage company workspaces, invitations, and memberships;
• detect, prevent, and respond to abuse, fraud, and security incidents;
• respond to support requests and communicate service updates;
• measure and improve the Service in aggregate form.

We do not sell personal information, and we do not use your compliance records for advertising.

4. Legal bases for processing

Where required by law, we process personal information because it is necessary to perform our contract with you, to comply with legal obligations, to protect our legitimate interests in operating and securing the Service, or because you have consented. You may withdraw consent for optional communications at any time.

5. How we share information

We share personal information only with:

• service providers that help us operate the Service, such as email delivery and cloud hosting providers, under contract and only to perform their functions;
• authorities, where required by law, regulation, or valid legal process;
• a successor in the event of a merger, acquisition, or sale of assets, subject to this policy.

6. Data retention

We keep your information for as long as your account or company workspace is active. One-time verification codes expire within minutes and are deleted shortly after. When an account is deleted, we remove or anonymize associated personal information, except where we must retain it for legal, accounting, or security purposes.

7. Security

We protect information with encryption in transit, hashed passwords, and access controls limited to personnel who need access to operate the Service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights and choices

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. Company administrators can manage workspace data directly in the Service. To exercise other rights or delete your account, contact us at support@badgeping.com.

9. International transfers

The Service is hosted in cloud data centers, and your information may be transferred to and stored in countries other than your own. Where required, we put safeguards in place, such as contractual clauses, to protect the information.

10. Children

The Service is a workplace compliance tool and is not intended for anyone under 16. We do not knowingly collect information from children under 16.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the current version on this page and revise the "Last updated" date. For material changes, we will also notify you by email or in the Service.
